Property Sourcing and Acquisition is the ground floor of everything else, because the wrong building makes every later decision harder. We begin by converting your intentions into a written brief: target postcodes, property type, tenancy status, refurbishment appetite, minimum yield, finance position and intended holding period. Only then do we search.

Our screening covers open-market listings, agent relationships, probate and portfolio disposals, and approaches to long-held owners who may not have advertised. Each candidate property receives a structured appraisal covering title and tenure, lease length, service charge and ground rent history, build construction and age, damp and structural indicators, planning constraints and a realistic refurbishment allowance. We present the evidence and the assumptions separately, so you can see exactly where the risk sits.

When you decide to proceed, we coordinate the survey, searches, valuation and negotiation alongside your solicitor and lender, maintaining a single schedule of conditions so that nothing surfaces unexpectedly at exchange. For buyers entering the market for the first time we often recommend a staged plan that spreads capital across two or three modest assets rather than committing everything to one address.

Portfolio Management

Portfolio Management keeps the whole stack standing once assets are held. We maintain a live register of every property, tenancy, lease event, insurance renewal and compliance certificate, so that the state of the portfolio can be established in a single sitting rather than assembled from memory.

Financially, we track income and expenditure against a rolling twelve month forecast, monitor arrears and voids, and prepare an annual pack that satisfies accountants, lenders and tax reporting without a scramble. Where a portfolio has grown by accident, we rebuild the register from title deeds, tenancy agreements and bank records before proposing any changes.

Reporting is deliberately short. Each quarter you receive a written summary, a rent position table and a prioritised list of works with cost bands, so approving a sequence replaces reacting to emergencies.

Refurbishment Project Management turns a tired building into a lettable or saleable one without losing control of time or money. We prepare the specification, tender it to a vetted contractor panel, compare returns on a genuinely like-for-like basis and then supervise the works through to snagging and handover.

During construction you receive a named project manager and a weekly progress note covering work completed, spend against budget, programme movement and any variation requested with its justification. We insist on written variations, staged photographic records and retention held until every defect is closed. Projects range from a flat refresh between tenancies to structural reconfiguration of a period townhouse, and the discipline does not change with the size of the job.

At completion we assemble a handover file containing warranties, certificates, product information and a maintenance note describing what should be serviced and when. That file feeds directly into the compliance and facilities work that follows.

Facilities Coordination

Facilities Coordination keeps a building working the way it was designed to work. We hold the maintenance calendar, instruct approved trades, verify that each job is completed to an agreed standard and retain the paperwork that proves it. Planned preventative maintenance is scheduled ahead of predictable failure wherever the asset justifies the spend, and reactive calls are triaged by urgency so that a dripping tap never competes with a failed boiler.

For blocks and shared buildings we also coordinate communal cleaning, grounds, waste arrangements, lighting and contractor access, and we reconcile service charge expenditure against budget each year with a clear explanation of any variance. Landlords receive a single schedule of invoices and one point of contact instead of a dozen separate conversations with trades, agents and suppliers.

Over time the maintenance record becomes a valuable asset in itself, showing a prospective buyer or lender exactly how the building has been looked after.

Tenant Liaison Services handles the human side of property with the same rigour as the technical side. Where a dispute arises, we follow the correct statutory route, issue the required notices on time and document each step, which protects both the occupant and the owner. Periodic visits are arranged by agreement, reported honestly and used to recommend sensible deposit retention or prompt return.

For landlords with several units this service removes a substantial administrative weight and ensures that residents always know who to contact and what will happen next.

Compliance and Safety Audits

Compliance and Safety Audits form the load bearing wall of a responsible property business. Our audits examine gas safety records, electrical installation condition reports, fire risk assessments, legionella risk assessments, smoke and carbon monoxide detection, energy performance certificates and right to rent checks, then produce a dated action list with an owner assigned to each item and a deadline attached.

Where a certificate is missing or has expired we arrange the inspection through our approved panel and chase it through to completion, storing the result in your compliance file. We recommend a full audit at acquisition, at every change of tenancy and once a year thereafter.

The resulting file is organised so that a council officer, insurer or solicitor can be satisfied quickly, and so that you never rely on memory when asked to demonstrate that a duty was met.
